PaperFrame•7 Retreat (PaperFrame7 – Germany)
Effective as of February 2026

1. Scope

These Terms & Conditions apply to all contracts between PaperFrame7 UG (limited liability), Belgradstr. 68, 80804 Munich, Germany (“Organizer”) and participants (“Customer”) of the PaperFrame•7 Retreat.

2. Subject of the Contract

The Organizer provides a professional development and coaching program that includes accommodation, meals, and workshop modules.
The exact scope of services is as described in the retreat program on the website or in the individual offer.
Meals provided during the retreat are part of the package and organized directly by the Organizer.
Third-party services and optional activities (as detailed in Section 5) are not part of the standard package unless explicitly stated otherwise.

3. Booking & Conclusion of Contract

  • The submission of a booking request via the online form, email, or in writing constitutes a non-binding reservation request by the Customer.
  • Once the Organizer confirms participation in writing (e.g., by email), a provisional spot is held for 72 hours without prepayment.
  • Within this 72-hour period, the Customer may confirm the booking by paying the 20% deposit indicated in the confirmation.
  • The booking becomes binding upon receipt of the deposit by the Organizer.
  • If no payment is received within 72 hours, the Organizer reserves the right to release the reserved spot.

4. Prices & Payment Terms

  • The total price is stated in the retreat offer.
  • A 20% deposit is due within 72 hours after booking confirmation.
  • The remaining balance must be paid no later than 30 days before the retreat starts.
  • If the deposit or final payment is not received within the specified time frame, the Organizer may withdraw from the contract and reallocate the spot.

5. Third-party Services & Optional Activities

Included services: The Organizer remains responsible for the proper performance of the services that are explicitly included in the retreat package (as described in the offer/booking confirmation), even if such services are performed by third-party suppliers (e.g., hotels, transport companies).

Optional activities / add-ons: Optional activities not included in the package price (e.g., additional tours, excursions, wellness sessions, or experiences outside the core retreat program) may be organized and carried out by independent third-party providers or a Destination Management Company (DMC). If such optional services are booked separately, the contractual relationship exists exclusively between the Customer and the respective third-party provider. The Organizer acts solely as an intermediary for these optional services and is not responsible for their provision.

Transfers: Transfers are part of the package only if they are explicitly stated as included in the offer/booking confirmation (e.g., “included in Venue Fee”). Transfers arranged or booked separately by the Customer are third-party services.

6. Right of Withdrawal (Distance Selling)

Bookings are made online; however, pursuant to § 312g (2) no. 9 BGB, the statutory right of withdrawal does not apply to contracts for event-based services (including coaching retreats and seminars) that take place on a specific date or within a specific period.
By booking, the Customer acknowledges that no statutory right of withdrawal applies.

7. Cancellation by the Customer & Corporate Flexibility

We understand that operational demands can change. To provide planning security, we offer a fair cancellation and substitution policy.

Cancellation Fees:

  • Up to 60 days: Free cancellation — full refund of any deposit paid.
  • 59 – 30 days: 20% of the total price (deposit retained).
  • 29 – 15 days: 50% of the total price.
  • Less than 15 days: 80% of the total price.
  • No-show: 100% of the total price.

Seat Substitution (Corporate Transfer):
If the registered participant cannot attend due to professional or personal reasons, the booking is fully transferable. The seat can be transferred to a colleague or partner up to 72 hours before the retreat starts at no extra cost, provided the new participant meets the retreat's general suitability criteria.

Illness/Unforeseen Circumstances:
If your cancellation is due to illness, visa delay, or flight disruption, please inform us immediately. While standard fees apply, we will aim to offer a partial credit or priority rebooking option for a future retreat whenever possible.

8. Program Realization & Cancellation by the Organizer

  • Minimum Group Size: The retreat requires a minimum of 4 participants to proceed.
  • Confirmation Status: In the unlikely event that the minimum group size is not reached by 30 days prior to the start date, the Organizer reserves the right to cancel.
  • Refund (Organizer Cancellation due to low participation): If the retreat is cancelled by the Organizer due to low participation, the Customer is entitled to a 100% refund of all payments made.
  • Unavoidable & Extraordinary Circumstances (Force Majeure): If unavoidable and extraordinary circumstances occur (e.g., natural disaster, serious security situation, or official travel restrictions) that significantly affect the performance of the retreat/package or the transport to the destination, and the Customer has a statutory right to terminate under applicable package travel law, the Organizer will refund 100% of payments made for the affected package within 14 days of termination.

    A 100% value voucher for a future retreat (transferable & no expiration) may be offered as an optional alternative—only if the Customer explicitly chooses it instead of a refund where a refund is due.

9. Participant Obligations & Confidentiality

Participants agree to:

  • Confidentiality (Chatham House Rule): To ensure a safe space for professional exchange, participants agree to treat all personal and business information shared by other participants during the retreat as strictly confidential.
  • Be in suitable physical and mental condition to participate and confirm that no known health conditions make participation unsafe.
  • Take personal responsibility for their own physical and mental well-being and stop participation immediately if feeling unwell.
  • Inform the Organizer in advance of any relevant health conditions or dietary requirements.
  • Follow the instructions of the Organizer, coaches, and staff.
  • Treat the accommodation, facilities, and provided meals with care and respect.

10. Liability & Insurance

  • The Organizer’s liability for damages not resulting from injury to life, body, or health is limited to intentional or grossly negligent behavior.
  • Liability for injury to life, body, or health remains unaffected, even in cases of simple negligence.
  • Participants take part in the retreat and all activities at their own responsibility, subject to the above limitations.
  • Participants are strongly advised to take out travel cancellation insurance and international health insurance before departure.

11. Data Protection & Use of Images

The processing of personal data is carried out in accordance with the Organizer’s privacy policy, available on the website.
Consent to the use of photos/videos for marketing purposes will be obtained separately and explicitly during the retreat. Participants may withdraw such consent at any time with effect for the future.

12. Governing Law & Place of Jurisdiction

German law applies.
If the Customer is a merchant, a legal entity under public law, or a special fund under public law, the place of jurisdiction is Munich, Germany.
In all other cases, the statutory provisions regarding jurisdiction apply.
